What's new in QuickBooks Pro, Premier, and Simple Start 2010 and Enterprise 10.0

Intuit recently released a new update for QuickBooks Pro, Premier, Simple Start 2010 and Enterprise 10.0.  This latest update includes technology improvements addressing how QuickBooks works with 64 bit Microsoft Office 2010 applications like e-mailing and exporting reports to Excel or Word. This update also includes fixes addressing a few bugs known to cause QuickBooks to crash when performing certain tasks. 

However, the most exciting change is that vendor direct deposit is out of beta and now available to anyone with a current Direct Deposit for Employees subscription!  QuickBooks Payroll users will also find several updates, including one specifically addressing a problem with the paycheck prints order.

If you've enabled the QuickBooks Automatic Updates feature, QuickBooks will prompt you to install this new update as it normally does the next time you launch it. Or if you prefer to manually download these updates you can find them along with additional help at www.quickbooks.com/productupdates.

  • Direct Deposit for Vendor is now available to anyone with a current Direct Deposit for Employees subscription. This feature allows you to deposit money directly into your vendors bank account through the Write Checks area of QuickBooks. For more information please search for Direct Deposit in the QuickBooks Help and click on the topic for Direct Deposit for Vendor.
  • Direct Deposit checks for vendors can now be entered directly into the register.
  • Cancelling a Direct Deposit for a vendor now cancels the check entry in QuickBooks as well as the deposit.

Document Management

  • "If the Document Management subscription is expired or cancelled, the ""Remove Service from Company File"" menu item is now functional. "

Licensing

  • "You are now able to Sync Licenses, Buy Additional Licenses or Unlock without an Internet Connection. "

Payroll

  • "QuickBooks Will no longer display a Mismatch error when attempting to Create reports in Employee Organizer. "
  • "QuickBooks will no longer display a ""Runtime check failed"" message when saving a custom liability payment in multi-user mode. "
  • Employee Organizer will no longer display the error "invalid type" while attempting to rehire an employee.
  • When a payroll item has been assigned to a different expense account and old paychecks are edited from before the account change, QuickBooks will now correctly use the old account.
  • If you have Enhanced Payroll for Accountants and your client has Basic Payroll you can now eFile forms for them.
  • QuickBooks now uses the Add EIN workflow instead of allowing the EIN to be setup by entering a service key.
  • When removing a payroll service key in an Intuit QuickBooks Enhanced Payroll for Accountants version, the key will be removed for the file currently logged into and the service will be inactivated for any other company files that had not been used or validated within the last 45 days in the same version of QuickBooks.
  • QuickBooks will no longer attempt to setup extra State Disability payroll items for employees who live in a different state than they work in.
  • QuickBooks provides easy access to free payroll support throughout your payroll workflow.
  • QuickBooks will now not allow more than one draft paycheck to be created for one employee.
  • Draft paychecks are updated with the latest tax table installed.
  • Checks will only reflect the cutoff date based on Pacific Standard Time Zone.
  • QuickBooks now calculates Sick and Vacation hours correctly for draft paychecks.

Payroll: Assisted Payroll

  • QuickBooks now properly updates the memo on a paycheck that was selected to use Direct Deposit is unmarked to not use Direct Deposit.

Product Updates

  • The Update QuickBooks infrastructure has changed to use SSL (secure) transfer protocol.

Reports

  • QuickBooks no longer displays an Unrecoverable Error when sorting reports by "Last Modified" in Windows Vista and Windows 7.

Sales Forms

  • Some cases of Unrecoverable errors and Runtime Errors when saving sales forms have been resolved.

Intuit Takes Typing Out of Professional Tax Prep

Last week, Intuit gave me a demo of their new ProLine Tax Import product. Even though the last thing I want to do is prepare income taxes, I do work with many CPA's and tax preparers who need help cleaning up their clients' Quickbooks files and I could immediately see how this product will save them an enormous amount of time!

Tax Import uses two technologies to easily populate a return. The first technology reads clients’ data from scanned source documents and imports it into Lacerte and ProSeries. Tax professionals first scan the documents, send the file to Intuit for processing and then import the data into the tax return. ProLine Tax Import includes data from a variety of documents, including consolidated brokerage statements, W-2s, 1099s, and Schedule K-1s.

The second ProLine Tax Import technology downloads tax data directly from financial institutions into Lacerte and ProSeries. Intuit’s innovative direct data feed technology distinguishes ProLine Tax Import from all other offerings in the market. Once the client approves the transfer of data to the tax preparer, this unique technology downloads data directly from financial institutions through a secure website to Intuit professional tax applications. Currently, the following financial institutions are supported by this product: Bank of America, Charles Schwab, E*Trade, Edward Jones, Fidelity, Morgan Stanley, Morgan Stanley Smith Barney, Scottrade, TD Ameritrade and UBS.

ProLine Tax Import is scheduled to be available free for a limited time to Intuit Lacerte Tax customers starting September 1, 2010. ProLine Tax Import will be available to ProSeries customers later in tax year 2010.

QuickBooks Tip: How to Expense Prepaid Expenses

Question:  Good morning!  Hope you are healthy and happy!  When expensing prepaid expenses, is it best to do a journal entry or just change the expense account? How do I create a good trail?


Answer:
Journal entries will give you the best trail because it leaves the original prepaid transaction intact.  If you need to prepare several entries for the same amount, like monthly prepaid insurance, you can memorize it by going to Edit > Memorize General Journal and even have it entered automatically.  Just make sure to set an ending date so it doesn’t continue after the prepaid is exhausted.
