QuickBooks 2009 R10 and Sales Tax Reports

If you are using QuickBooks to track and report Sales Tax, you need to update to QuickBooks 2009 Release 10 before submitting Sales Tax to your tax Agency. 

This Intuit article provides information on updating from Release 8 to Release 10 (including a follow up about the critical notice in our recent email to you regarding the Sales Tax Revenue Summary Report). To see what release of QuickBooks you are using, Open QuickBooks and hit F2. The first line in the top left will show you what release you are on.

The QuickBooks 2009 Release 10 is different from most releases. If you are updating from Release 8 (R8), think of this update in the same way you treat an upgrade to a new year’s version.

  • Both your program and data files will need to be updated.
  • You must log into each company file as the QuickBooks Administrator for the file to update.
  • R10 is not backwards compatible with R8 or previous releases of QuickBooks 2009. This means that all computers on your network that run QuickBooks or the QuickBooks Database Server need to be updated to Release 10.
  • If after installing R10, you are unable to open your company file, see the Step-by-Step instructions below.

QuickBooks 2009 Release 10 requires that ALL computers accessing QuickBooks company files be updated to R10, including the server.

Special Instructions for installing R10 on QuickBooks file servers:

The server must be updated to R9 before QuickBooks company files on the server can be opened using R9!
To install the R9 or R10 RPM for Linux Servers follow the Linux Instructions
To install the R9 update for file servers running the Windows Instructions.

If you receive an H202 error or cannot open the company file after installing R9 on the server, close and re-open QuickBooks on the server.  If you have a QuickBooks Server Only install restart the QuickBooks Database Server Manager on the server.
  1.  Hold the Windows key and press R or from the Windows Start button, choose Run and enter services.msc in the Open field.
  2. Click OK.
  3. Right-click  QuickBooksDB19 and select Stop.
  4. Right-click QuickBooksDB19  and select Start.
  5. Close the Services window. 
 If you are still receiving the H202 follow these steps.

Step-by-Step Instructions:

Download the R10 update:

** Important ** - Click the Choose a different product button if the page does not currently list your QuickBooks 2009 product.
Follow the Manual Update instructions on the Product Updates page for each computer that runs QuickBooks.
To update the QuickBooks file server, follow these instructions.
To update the company file, Open the company file on a computer with R10 installed. Important: You must log into the company file as the QuickBooks Administrator to update it. If you do not have the administrator password, please have the QuickBooks administrator update the company file. For help with Administrator password issues click Here.
  1. Launch QuickBooks
  2. From the File Menu, select Open or Restore Company
  3. Select Open a Company file and click Next
  4. Choose the file you want to open and click Open
    -- If the file is on another computer, Intuit strongly recommends it be copied to this computer to update it, and then copy it back after it is updated.
  5. Follow the on screen instructions to complete the file update process. The instructions will take you through making a backup of your company file (including Verifying Data Integrity), updating your company file, and then another Verify of the file.
Once the file has been updated successfully, verify that the server has been updated. 

If the QuickBooks program is installed on the server, launch QuickBooks at the server and press the F2 key
-- The Product Information line at the top of the screen should contain R10 or R10P

If QuickBooks installed as server only, right click the QuickBooks Database Server Manager in the lower right corner of the screen on the server and choose Open QuickBooks Database Server Manager.  Click the Updates tab.  The version number listed in this tab should be R0.3597 or higher 

Critical notice:  After this R10 update, the Sales Tax Revenue Summary Report may not display all of the line-item detail you may need to prepare sales tax reports for tax authorities.  If you need to prepare sales tax reports for tax authorities before the next update is available, click here to determine if you are affected by this issue and need a workaround to get the information you need to submit your sales tax filings.

Intuit is working on an update to fix this issue and will release it as soon as it is available. Despite the issue with the Sales Tax Revenue Summary Report, we strongly recommend upgrading from R8 to R10 to take advantage of the database upgrades that improve the stability of QuickBooks and receive important updates for our Intuit Payroll Service.
